Adapt the proper demeanor. Of course you need an authoritative attitude, otherwise customers will not be convinced that you know what you are talking about. However, as a customer service representative, you need to relay information in an appropriate tone. Always be courteous. No matter how irate the customer is, it won’t accomplish anything if you bump heads with them in the same manner. Put aside the stress of quotas and deadlines. Whatever you’re dealing with, the most important part of your job is to providing good service and that’s where you should focus.
Be resourceful. Sure you have a manual that says whatever you need to do to answer customer’s queries and issues. However, there are times when you just have to think outside the box. Go out of your way to find creative solutions in order to help customers with their needs.
Be patient. This is one of the most important traits of a customer service representative – patience. You must be willing to be patient with customers who do not seem to know the limits to their demands.
Practice your communication skills. Talking and facing people of different personalities, one has to acquire superb communication skills to be able to convey the appropriate message or information in the most appropriate manner. This does not happen overnight, and comes along with experience. The key here is to learn from each episode with a customer.
